Performing a Directory Search

The Directory Search screen is used to perform a search for directory records for a person, function, or department. The Directory Search screen is accessed by choosing the Directory Search tab. Within this screen, you can search for an individual or function by name, phone number, phone number type, department, or title. You can also search for a department by name, which displays a list of the individuals in that department.

NOTE: Your organization may have different search fields available in the Directory Search screen. This screen can be configured to use different fields for a directory search.

When a directory search is performed, any directory records for that person, function, or department are displayed. The directory record can include the person’s or function’s current status, title, department, email address, any current exceptions, aliases, and phone numbers.

NOTE: A directory record and/or phone number(s) may not be available if the information in the directory record has not been published to Smart Web. Publishing directory record information is done within Smart Center. For more information about publishing directory information to Smart Web, please contact your System Administrator.

Icons Used in the Directory Search Screen

A set of icons are displayed in the Directory Search screen to show more information about an individual. The table below shows the icons that may display.

Icon	Description
	Click the pager icon to send a page to the profile. A message displays if a page cannot be sent. For more information about paging from this screen, please refer to Paging an Individual from the Directory Search Screen.
	Click the message icon to send a message to the individual. The message is stored until the individual retrieves it. For more information about sending a message from this screen please refer to Sending a Message to an Individual from the Directory Search Screen.
	Click the email icon to send an email message to the individual. For more information about emailing from this screen please refer to Sending an Email to an Individual from the Directory Search Screen.
	Click the call icon. This icon displays only if your organization has purchased and installed the Call Assistant application. Using this icon, the user can place a call to the individual simply by clicking on the icon. The call is automatically made from the user’s phone to the phone number in the directory record without manually dialing the telephone. 	Hover the cursor over the status icon to display the current status for the individual.
	The coverage icon displays if the individual currently has a coverage exception. Hover the cursor over the page block icon to display the name and messaging ID of the individual currently providing coverage.
	The page block icon displays if the individual currently has a page block exception. Hover the cursor over the page block icon to display the message for the exception.
	The referral icon displays if the individual currently has a referral exception. Hover the cursor over the referral icon to display the referral callback phone number.
	The on-call icon displays if the individual is currently on-call.
	The picture icon displays if the individual has a picture file available for their record. Click on the picture icon to display the picture.
	The instructions icon displays if the individual is assigned an instruction. Click the icon to display the instruction. This feature is configurable and may not be available.
	The send to all messaging devices icon displays if the Send to all devices option has been selected for the individual’s listing record. When this option is selected and page is sent, the page is sent to all available and operable pagers and email addresses assigned to the individual.
